International Terms of Service

1. About these terms

These Terms of Service are between you (the "client") and Mantraminds Behavioural Health Center, a unit of Venture7 Technology Private Limited, a company incorporated in India, with its registered office at E-303, LGF, Greater Kailash II, New Delhi 110048, India ("Mantraminds", "we", "us").

These terms apply to online well-being counselling for clients living in the countries we currently serve: the United Kingdom, Ireland, the Netherlands, Germany, Portugal, Sweden, France, Switzerland, Norway, Denmark, Finland, Singapore, Hong Kong, Japan, South Korea, Sri Lanka, Bangladesh, Nepal, Australia, New Zealand, Fiji, Trinidad and Tobago and Suriname. There is nothing to sign. You accept these terms online by ticking "I agree" when you sign up, and again by booking or attending a session. Please read it carefully. If anything is unclear, write to contact@mantraminds.com before you book.

Our Privacy Policy and Cancellation & Refund Policy form part of these terms.

2. What our service is — and isn't

2.1 What we offer. Mantraminds provides non-clinical well-being counselling for adults. That means a confidential space, delivered online, to talk through everyday challenges such as stress, relationships, parenting, work, study, life changes and uncomplicated grief, and to build practical coping strategies.

2.2 What we don't offer. Our well-being counselling:

  • is not therapy or psychotherapy, and does not diagnose, assess or treat any mental health condition;
  • does not include psychiatry, prescribing, or advice on starting, stopping or changing medication, or psychological testing or assessment;
  • does not include medical certificates, reports or letters;
  • is not a crisis or emergency service. We can't send emergency help to you, and we don't monitor messages or emails outside session times;
  • is not a substitute for care from your doctor or other health professionals.

2.3 If you are in crisis. If you are thinking about harming yourself or someone else, or you're in danger, contact your local emergency services straight away. The emergency number and crisis lines for your country are listed on the "Finding support" page for your country.

2.4 No guaranteed outcome. Counselling can help a great deal, but we can't promise any particular result.

2.5 Where the service is provided. Mantraminds and our counsellors are based in India and the service is provided from India. To the extent the law allows, the service is treated as supplied in India.

2A. Your informed choice

By booking, you confirm that you understand and accept that:

  1. Local registered services exist in your country. These include public health services, registered psychologists, counsellors and therapists, and services funded by insurance or your employer. You have chosen Mantraminds instead, voluntarily and for your own reasons.
  2. We are an overseas, India-based provider. Our counsellors are qualified in India and are not registered or credentialed in your country (section 4).
  3. Our service is non-clinical well-being counselling and is not a substitute for care from a local doctor or registered mental health professional.
  4. Sessions can't be claimed or reimbursed. They don't qualify for government rebates or schemes, health insurance, workers' compensation, or employer or EAP reimbursement. Our receipts are payment receipts only, not invoices for a registered health service.
  5. Health regulators in your country can't investigate our counsellors, because they are not registered there. Complaints come to us (section 16), and your consumer rights stay in place (section 17).
  6. You will follow our advice to seek local help if we tell you your needs go beyond what we offer, and you remain responsible for getting that help.

We keep an electronic record of when you ticked "I agree" (date, time and version of these terms). That record is your acceptance; no signed copy is needed.

3. Who can use the service

You can use the service only if:

  • you are 18 or older;
  • you live in one of the countries we currently serve (the United Kingdom, Ireland, the Netherlands, Germany, Portugal, Sweden, France, Switzerland, Norway, Denmark, Finland, Singapore, Hong Kong, Japan, South Korea, Sri Lanka, Bangladesh, Nepal, Australia, New Zealand, Fiji, Trinidad and Tobago or Suriname), and you are physically in one of those countries at the time of each session. If you'll be travelling elsewhere, tell us before the session and we'll check whether we can go ahead; and
  • you have completed our sign-up form and we have offered you sessions.

We may ask you to confirm your age or location at any time. If you are not eligible, we will stop the service and refund any paid sessions that haven't yet taken place.

4. Our counsellors

4.1 Qualifications. Our Well-being Counsellors are based in India and hold postgraduate qualifications in psychology. Some are registered with the Rehabilitation Council of India. Each counsellor's degree, experience and languages are shown on their profile. Counsellors receive clinical supervision within Mantraminds.

4.2 Not registered in your country. Our counsellors are not registered with any health regulator in your country. That includes:

  • UK: the Health and Care Professions Council (HCPC);
  • Australia: the Australian Health Practitioner Regulation Agency (Ahpra) or the Psychology Board of Australia;
  • New Zealand: the New Zealand Psychologists Board or the Psychotherapists Board of Aotearoa New Zealand (PBANZ);
  • Ireland: CORU;
  • Netherlands: the BIG register;
  • Germany: any Psychotherapeutenkammer (our counsellors don't provide psychotherapy or Heilkunde);
  • Sweden: Socialstyrelsen (our counsellors don't use the titles psykolog or psykoterapeut);
  • Japan: the register of Certified Public Psychologists (公認心理師);
  • Fiji, Trinidad and Tobago and Suriname: any local regulator (none currently registers counsellors);
  • Portugal: the Ordem dos Psicólogos Portugueses (our counsellors don't provide psychological intervention);
  • Hong Kong: any statutory board or the Department of Health's Accredited Registers Scheme;
  • Sri Lanka: the Sri Lanka Medical Council;
  • Bangladesh: any licensing body (none currently registers counsellors);
  • Singapore: the Allied Health Professions Council (AHPC);
  • Switzerland: the Psychology Professions Register (PsyReg) or any cantonal health authority (our counsellors don't provide psychotherapy);
  • France: the RPPS/ADELI registers for psychologists or any regional health agency (ARS) list of psychotherapists;
  • Norway: Helsedirektoratet's health personnel register (HPR); our counsellors don't hold Norwegian authorisation as health personnel;
  • Denmark: the Danish Patient Safety Authority (Styrelsen for Patientsikkerhed) authorisation register for psychologists;
  • Finland: the Finnish Supervisory Agency's JulkiTerhikki register of health care professionals;
  • South Korea: the Ministry of Health and Welfare's mental health professional qualification (정신건강전문요원) or the Korean Psychological Association's certification system;
  • Nepal: the Nepal Health Professional Council.

4.2A Overseas registrations. Some counsellors hold registrations or clinical experience in India. Overseas qualifications and registrations do not give registration to practise in your country. When working with you under these terms, our counsellors act only as Well-being Counsellors, and not as psychologists, psychotherapists, psychiatrists or medical practitioners.

4.3 Titles. Our counsellors are called "Well-being Counsellors". Where we mention an Indian title or registration (for example a counsellor registered with the Rehabilitation Council of India), we always add "(India)". These do not make anyone a registered psychologist, psychotherapist or other health professional in your country, and our counsellors do not present themselves as one. In Australia and New Zealand we do not use the word "psychologist" at all.

5. Screening, re-screening and referral

5.1 Why we screen. We read your sign-up answers before your first session, and at the start of your first session your counsellor goes through a few widely used well-being questionnaires with you. If they show our service isn't right for you, the counsellor stops the session and you get a full refund. They help us check that our service is right for you. They are not a diagnosis. Afterwards we may:

  • go ahead with your sessions;
  • discuss your needs with a senior colleague before your session goes ahead (we'll tell you when to expect an answer); or
  • recommend local services that can offer clinical care instead. In that case we cancel your booking and give you a full refund.

We may decline to offer or continue sessions at our discretion, including where we think another service would suit you better.

5.2 Re-screening. We'll ask you to complete the questionnaires again every 4th session and whenever your counsellor has a concern.

5.3 Referral. If at any point your counsellor feels your needs go beyond non-clinical well-being counselling, they will tell you honestly and kindly, and help you find suitable local support (for example your GP or a local service). We may pause or end the service in that case. You'll receive a refund for any unused prepaid sessions (see the Cancellation & Refund Policy).

5.4 Telling us about changes. Please tell us if your circumstances change. That includes starting treatment for a mental health condition, a new diagnosis, or new thoughts of self-harm.

6. Your responsibilities

You agree to:

  1. give accurate and complete information when you sign up and during sessions;
  2. confirm where you are at the start of every session. Your counsellor will ask for your current location;
  3. give us, at your first session, your current address and the name and phone number of an emergency contact we may call if we believe you are at serious risk (see section 7.2);
  4. join from a private, quiet space where you can't be overheard, and not take sessions while driving or under the influence of alcohol or drugs;
  5. use a reliable internet connection and a device you control;
  6. treat your counsellor with respect. We may end a session if there is abusive or threatening behaviour;
  7. pay fees on time and follow the Cancellation & Refund Policy, including joining on time: your session ends at its scheduled time, and if you haven't joined within 15 minutes it counts as a no-show;
  8. tell us if you are under the care of a doctor or mental health professional, and not use our service to replace care they have advised;
  9. contact us only for scheduling between sessions. We don't provide counselling by email, chat or WhatsApp.

6A. How we contact you

  • Email is our preferred way to communicate. Our team may also reply through the chat on our website.
  • When you sign up, we ask for your WhatsApp number. We use it only if we need to reach you urgently, for example about your safety or a session that can't go ahead. Please keep it up to date.
  • We don't make routine phone calls, and we don't provide counselling by email, chat or WhatsApp.

If you give us inaccurate information or withhold something important (for example a diagnosis, current treatment or risk of harm), we may end the service.

7. Confidentiality and its limits

7.1 Our promise. What you share in counselling is confidential. Only your counsellor and, where needed for supervision, quality or safety, a small number of Mantraminds clinical staff will see it. They are all bound by confidentiality. We do not share it with your family, employer or anyone else without your consent.

7.2 When we may share information without your consent. We may share the minimum information necessary, with the right people (for example your emergency contact, local emergency services or a relevant authority), when:

  • we believe there is a serious risk of harm to you or to another person;
  • we learn of a risk to a child or a vulnerable adult (safeguarding);
  • we are required by law, or by a court or regulator, in India or in your country.

Where it is safe and practical, we'll talk to you first.

7.3 Supervision. Counsellors discuss their work in clinical supervision within Mantraminds, using as little identifying information as possible.

8. Session records

Your counsellor keeps brief written notes of each session, along with your intake answers, questionnaire results and consents. These are kept securely, stored and accessed in India, retained for 7 years after your last session (or longer if the law requires), and handled as described in our Privacy Policy. You can ask for a copy of your records, subject to the law.

9. Fees and payment

  • Fees are shown in your local currency on your country page and at booking. See the Fees section of your country page.
  • Sessions last 50 minutes. There is no free intro call.
  • After the sign-up form you can book straight away in our booking calendar. You pay when you book, by card or another method shown at checkout, through our payment provider (Razorpay). We read your answers before your first session; if our service isn't right for you, we cancel the booking and give you a full refund. We do not see or store your full card details.
  • Book at least one day ahead (India time). Same-day sessions are offered only in exceptional cases, subject to a counsellor being free. A booking is confirmed only once payment has gone through.
  • Your statement. Payments appear as MANTRAMINDS. If a charge looks wrong, please email care@mantraminds.com before contacting your bank. We'll reply within 2 working days and correct genuine mistakes. If you raise a dispute, we may share your booking, payment and agreement records with your bank or payment provider.
  • Currency. Depending on the payment method, you may be charged in another currency (for example Indian rupees or US dollars) at the equivalent amount. Any conversion or transaction fees charged by your bank or card provider are yours to pay.
  • Session hours. Sessions are available during India daytime hours, within the hours each counsellor sets, and are shown in your local time. We are not a 24/7 service. If another counsellor's hours suit you better, you can ask to see them instead.
  • Our fees are paid by you directly. Government rebates (for example Medicare in Australia) and health insurance do not apply.
  • Fees include any taxes we are required to charge.

10. Cancellation, rescheduling and no-shows

10.1 14-day right to cancel (UK, EU and Norway). If you live in the United Kingdom, Ireland, the Netherlands, Germany, Portugal, Sweden, France, Norway, Denmark or Finland, your local law may give you 14 days from booking to cancel. If you book a session that takes place within those 14 days, you ask us to provide it within that period, and you lose the right to cancel once the session has been held. If you cancel before it is held, we'll handle it as your local law requires. Section 4A of our Cancellation & Refund Policy explains how, and includes a cancellation form.

10.2 South Korea. If you live in South Korea, you can withdraw from a booking within 7 days of receiving your booking confirmation, for a full refund within 3 business days, as long as the session hasn't started (Act on Consumer Protection in Electronic Commerce, Articles 17 and 18). Section 4B of our Cancellation & Refund Policy explains how.

Our Cancellation & Refund Policy explains rescheduling, cancellations, no-shows and refunds.

11. Individual sessions only

During this first phase we offer individual sessions only. You're welcome to talk about your relationship in your own sessions.

11A. No reports, letters or certificates

We don't provide reports, letters, certificates or statements about you for employers, insurers, schools or universities, immigration authorities, courts or any legal process, and our session notes are not prepared for those purposes. We will only release information where the law requires it (section 7.2).

12. No recordings

Neither you nor your counsellor may record any session (audio, video, screenshots or transcripts) without the written consent of everyone taking part. We do not record sessions. If we ever wished to, we would ask first, and you could say no without it affecting your care.

13. Technology

Sessions take place by secure video through a third-party platform. No online service is completely risk-free. Connections can drop, and data can be intercepted or accessed without authorisation, despite reasonable security measures. You can reduce the risks by using a private network and keeping your device secure. If a session is disrupted by a problem on our side, we'll reschedule or refund it (see the Cancellation & Refund Policy).

14. Ending the service

  • You can stop at any time by telling us at care@mantraminds.com. Paid sessions that haven't yet taken place are handled as set out in the Cancellation & Refund Policy (cancel by 6:00 PM India time, 2 calendar days before, and you won't be charged or will get a full refund).
  • We may end or pause the service if: it's no longer suitable or safe for you (we'll refer you on); you're no longer eligible; you seriously or repeatedly break these terms; or there is abusive behaviour. Where appropriate, we'll explain why and suggest other support.
  • Sections 2A, 7, 8, 11A, 15, 17 and 18 continue after the service ends.

15. Our liability

15.1 What we're responsible for. We provide the service with reasonable care and skill, as the law requires.

15.2 What we don't exclude. Nothing in these terms excludes or limits any liability that cannot legally be excluded or limited. That includes liability for:

  • death or personal injury caused by our negligence;
  • fraud or fraudulent misrepresentation;
  • your rights under consumer law in your country (see section 17), including the consumer guarantees under the Australian Consumer Law and the New Zealand Consumer Guarantees Act, and your statutory consumer rights in the UK, the EU and every other country we serve.

15.3 Limits, where the law allows. Subject to 15.2:

  • we are not liable for losses that were not reasonably foreseeable, or for business losses (the service is for personal use);
  • we are not responsible for harm arising from: information you withheld or gave inaccurately; not following our advice to seek local or emergency help; decisions you make about your health, relationships, work, finances or legal matters; services provided by any third party we suggest; or problems with your own equipment or connection;
  • our total liability to you for anything else is limited to the fees you paid for the session or sessions the claim relates to;
  • any claim must be raised with us in writing within 12 months of the event it relates to.

Where the Australian Consumer Law or the New Zealand Consumer Guarantees Act allows us to limit our liability for a failure to meet a guarantee, our liability is limited to supplying the service again or paying the cost of having it supplied again.

16. Complaints

We want to hear if something isn't right. Please write to contact@mantraminds.com. We'll acknowledge your complaint, look into it and reply in writing. If you're not satisfied, you can ask for a review by our founder, and you can also contact the consumer or complaints body in your own country.

17. Governing law and your consumer rights

17.1 These terms are governed by the laws of India.

17.2 Your local consumer protections still apply. If you are a consumer living in one of the countries we serve, choosing Indian law does not take away the protection of the mandatory consumer laws of your country. Nothing in these terms limits the rights those laws give you.

17.3 Resolving disputes. Please raise any dispute with us first in writing (section 16) and give us 30 days to resolve it. If it isn't resolved, it will be settled by arbitration seated in New Delhi under the Arbitration and Conciliation Act, 1996, by a sole arbitrator, in English, with hearings held online where possible.

17.4 Your local rights. Section 17.3 applies only to the extent the law of your country allows. It does not stop you using a consumer body, tribunal or court in your own country where that law gives you the right to do so.

18. General

  • Changes to these terms. We may update these terms, for example to reflect changes in law or in our service. We'll give you at least 14 days' notice by email of any change that affects you. Changes will not apply to sessions you have already paid for unless the law requires it. If you don't agree, you may stop and receive a refund any paid sessions that haven't yet taken place.
  • Transfer. We may transfer these terms to another organisation that takes over our service, provided your rights are not reduced. We'll tell you if this happens.
  • Severability. If any part of these terms is found invalid, the rest stays in force.
  • Whole agreement. These terms and the policies listed in section 1 are the whole agreement between us about the service.
  • Language. These terms are in English. If they are translated, the English version prevails, to the extent the law allows.
